About the Role

We’re seeking an organised and proactive Service Coordinator to join our team in Penrith. In this role, you’ll be responsible for coordinating planned and reactive service works, managing customer requests, scheduling technicians, and ensuring service activities are delivered in line with contractual obligations. You’ll act as a key link between clients, technicians, subcontractors, and internal stakeholders to ensure jobs are processed, scheduled, and completed efficiently. This is a fast-paced position that requires strong organisational skills, attention to detail, and the ability to multitask while maintaining a high standard of customer service.

Responsibilities

  • Receive and process customer service and maintenance requests (phone & email)
  • Raise and manage service work orders and job cards
  • Schedule planned and reactive maintenance works
  • Coordinate technicians and subcontractors to meet service timeframes
  • Generate and issue purchase orders and invoices
  • Monitor service jobs through to completion
  • Maintain accurate client and equipment records in workflow systems
  • Ensure programmed and reactive works are attended within contractual timeframes
  • Escalate service issues and assist in resolving customer concerns
  • Report on service activities and compliance with contractual obligations

Requirements

  • Previous experience in a service coordination or service administration role
  • Experience working within a service-based environment
  • Experience using Simpro or similar workflow/CMMS systems
  • Minimum Year 12 education
  • Australian working rights (essential)

Skills

  • Strong literacy and numeracy skills
  • Excellent communication and customer service skills
  • Strong organisational skills and attention to detail
  • Ability to multitask and work under pressure
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
