About the Role
The Operations Associate is an essential member of the Operations department. Under the supervision of different professionals, Operations Associates perform a variety of tasks, including billing, administrative support for Tax, Audit, and CAS, tax return processing, audit compilation proofing/processing, front desk support, management of inbound calls, and some client communication.
Responsibilities
- Create and update due date reports for departments and teams.
- Create, edit, or remove new tasks in Workflow software as requested by Firm leadership.
- Troubleshoot due date report errors and provide detailed information.
- Prepare lists of clients with outstanding information and follow up on tax organizers, e-filing signature consents, and time-sensitive materials.
- Prepare client lists and manage the distribution of tax organizers and annual arrangement letters.
- Attend Operations Department and related meetings, take notes, and report assigned tasks.
- Attend training to improve individual proficiencies and knowledge of firm technology updates.
- Support the Project Manager on major updates or rollouts of new or existing technology and processes.
- Research and stay current on firm-related software updates by completing mandatory training and practicing new skills.
- Manage electronic delivery, extending, and filing of deliverables year-round.
- Prepare CPE material and work with Staff to facilitate events and conduct polling as needed.
- Monitor and complete requests from the Admin staff inbox.
- Ready client data for workpapers supporting Tax, Audit, or CAS Staff, including the Autoflow process and sending emails for missing information.
- Respond to ad hoc document requests, including POAs, change of address forms, and engagement letters.
- Serve as a first point of contact for office guests, offering refreshments and ensuring meeting space readiness.
- Manage certified mail requests and ensure delivery to the Post Office.
- Perform other duties as assigned by the Operations Coordinator or Lead Partner.
Requirements
- Two to four years of experience in an Operations or Paraprofessional role, preferably in a public accounting environment.
Skills
- Heavy Excel experience
- Proficiency in BI platforms/data analytics
- Proficiency with Microsoft 365 environment
- Proficiency with keyboard, mouse, multiple monitors, laptop computers, copiers, scanners, and printers
- CompTIA A+
- CompTIA Network+
- CompTIA Security+
- Microsoft 365 Certified: Fundamentals
- BI Certifications
- Microsoft Office/365 Applications (Outlook, Word, Excel, Sharepoint, OneDrive, Teams)
- Experience with Quickbooks (preferred)
- Experience with CCHAxcess (preferred)
- Experience with IDEA (preferred)
- Experience with CCH Document (preferred)
- Experience with Adobe (preferred)
- Experience with Depreciation Solutions (preferred)
- Experience with Caseware (preferred)
