About the Role
The Program Coordinator will support the Program Director in the day-to-day operations of the elementary after school program. They will play a key role in organizing and planning logistics for daily programming, special events, and trips. They will work collaboratively with school staff, SAYA colleagues and community partners, as well as develop relationships with youth and families. This position plays a key role in ensuring smooth program functioning, maintaining compliance with requirements, and fostering an engaging, safe, and inclusive environment for students.
Responsibilities
- Support the Program Director with daily program operations.
- Oversee recruitment and registration process for new and returning students.
- Update funder's database (DYCDConnect) weekly with attendance, workscope, participant intake, program schedule, and staffing.
- Obtain participant intake forms and maintain updated emergency contacts and medical information for all participants.
- Complete and submit weekly daily supper/snack counts to school administration.
- Ensure administrative records and files comply with program requirements and regulations.
- Maintain inventory of equipment and supplies and assist with ordering as needed.
- Ensure staff files and clearances remain complete and up to date.
- Coordinate and schedule logistics for special events including food, materials, and promotion.
- Build positive relationships with students, families, and caregivers.
- Support outreach and recruitment by distributing materials to promote SAYA programs.
- Establish rapport with youth, providing mentoring and guidance for academic and personal development.
- Advocate on behalf of students and families.
- Foster a safe, inclusive, and engaging environment for all participants.
- Assist the Program Director in supervising staff and supporting their development.
- Strengthen and maintain positive relationships with school administration and staff.
- Collaborate with school administration and other CBO programs.
- Track and share staff meeting minutes and attendance.
- Perform other duties as assigned.
Requirements
- Bachelor’s Degree required
- Two years of significant experience in Elementary/Middle School Education, Social Work, or Youth Development.
- Strong computer and database management skills, including Microsoft Office and Google Drive applications.
- Commitment to a strength-based youth development perspective.
- Ability to work independently and collaboratively as part of a team.
- Strong leadership, conflict resolution, and diplomacy skills.
- Excellent oral and written communication skills with keen attention to grammar and spelling.
- Experience in roles with administrative and/or data entry responsibilities.
- Detail-oriented with excellent organizational and time management skills.
- Ability to manage multiple responsibilities simultaneously and prioritize.
- High standard of integrity and accountability.
- Familiarity with SONYC/COMPASS/ExpandEd program a plus.
- Bilingual (Spanish) a plus.

Salary/Compensations
- $60k-$65k commensurate with experience
