About the Role
Contributes to the overall success of the Bank in the USA, ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.
Responsibilities
- Provide high-level administrative support to Executive Committee/Chief Officers.
- Gather, compile, verify, and analyze information for executive documents.
- Prepare documents and presentation materials.
- Screen and respond to incoming correspondence, inquiries, and phone calls.
- Draft letters and official information releases.
- Arrange and attend meetings, taking and distributing minutes.
- Manage expenses and reporting.
- Monitor, review, and approve standard expenditures within budget.
- Manage monthly variance analysis alignment.
- Act as primary liaison and coordinator for department initiatives.
- Provide guidance and mentorship to junior Admin Team members.
- Identify, resolve, and escalate day-to-day administrative support issues.
- Contribute to developing and enhancing processes and procedures.
- Adhere to global administrative policies.
- Champion a customer-focused culture to deepen client relationships.
- Monitor policy adherence and escalate issues.
- Establish sound business relationships with internal and external clients.
- Ensure effective and efficient operations, adhering to Scotiabank’s Values, Code of Conduct, Global Sales Principles, and business controls for operational, regulatory compliance, AML/ATF/sanctions, and conduct risk.

Requirements
- Post-secondary training in business administration or equivalent experience.
- Minimum 5 to 7 years of experience in a business administration support function.

- Experience with Concur expense management system (ideal).
