About the Role
The Project Analyst is a self-directed, creative problem solver and excellent collaborator, valuing open communication and cross-team work to improve operational efficiency in K-12 print and digital product creation, management, and delivery. This role is crucial for project planning and organization throughout the editorial development cycle, collaborating with teams for seamless execution and creative excellence. Key focus areas include optimizing editorial workflows, upholding data integrity, ensuring efficient tool integration, and providing Smartsheet system architecture support. This is a one-year term project position.
Responsibilities
- Develop and communicate best practices for process, documentation, tracking, review, and production, emphasizing workflow design and data structuring for optimal data integrity.
- Support Editorial teams with efficient reporting and tracking tools using Smartsheet and related tools, ensuring optimal data flow and integrity.
- Promote tools and workflows that enhance product vision clarity, focusing on solutions for improved data capture and creative efficiency across the product development ecosystem.
- Provide project support for onboarding teams and vendors to Savvas tools and processes, focusing on data capture, metadata accuracy, and workflow adherence.
- Collaborate cross-functionally to build relationships and improve touchpoints between Product Development, Project Management, and Production teams.
- Lead with empathy to understand pain points and develop solutions that meet team needs.
- Participate and advise on improvement initiatives, emphasizing innovation and optimization through strategic integration of emerging technologies like AI and workflow automation to enhance data integrity and system efficiency.
Requirements
- BA in Project Management, Business Management, Computer Science, Logistics, Education, or a related field.
- Minimum 5 years of experience in project management, operations, or strategy in a high-volume, fast-paced environment; publishing or educational technology experience is an asset.
- Proven ability to manage complex projects through the full lifecycle, delivering results on time and within scope.
- Strong organizational, time-management, and prioritization skills, managing multiple projects and competing deadlines simultaneously.
- Experience coordinating schedules, resources, and deliverables across multiple teams to meet project milestones.
- Demonstrated ability to identify project risks, anticipate challenges, and develop collaborative mitigation strategies and solutions.
- Experience developing, documenting, and continuously improving processes for efficient project planning, scheduling, and tracking.
- Understanding of AI-enabled capabilities (e.g., automated tagging, transcription, content analysis) and their leverage for operational efficiency and content discoverability.
- Smartsheet certification, PMP certification, or other process/project management credentials are considered assets.
Skills
- Strong technical, analytical, and organizational skills in data best practices, data structure, process/workflow optimization, and interconnected system architecture.
- Ability to structure ambiguous problems, analyze complex processes, synthesize data, and derive usable insights and solutions, particularly in creative production data pipelines and asset metadata workflows.
- Knowledge of AI applications and tools related to automated workflows (e.g., metadata tagging, transcription, content analysis) and data efficiency in creative production.
- Proficiency in project management software, particularly Smartsheet.
