About the Role
This high-visibility role serves as the heartbeat of the Toronto office, designed for a natural community builder with operational ownership and a welcoming presence. The specialist drives office energy, curates the daily environment, and actively connects cross-functional teams. Operating with total accountability, they manage vendor relationships, track local office spend, orchestrate events, and ensure a perfect pantry selection. They find joy in making people feel cared for, proactively identifying and resolving cultural gaps and operational friction points before they reach leadership.
Responsibilities
- Act as primary contact for employees, visitors, and suppliers in the Toronto office.
- Manage reception area, ensuring it is operational and immaculate.
- Welcome guests with a white-glove approach.
- Partner with HR for seamless employee onboarding and offboarding.
- Champion internal programs and orchestrate local events, including office-wide lunches, engagement events, and team celebrations.
- Support external corporate events and team activities.
- Drive daily facility safety protocols and serve as the local Health & Safety representative.
- Complete monthly health and safety inspections and participate in emergency response programming.
- Proactively manage the facility ticket queue (Jira) and resolve workspace concerns.
- Lead incident response and mitigation for issues.
- Act as primary liaison for critical workplace vendors.
- Supervise the cleaning team to maintain optimum office standards.
- Manage inventory, ordering, and maintenance of consumables, food, snacks, and office supplies.
- Maintain administrative integrity by tracking key workplace data, including occupancy trends and utility metrics.
- Manage the procurement process, including raising purchase orders and reconciling invoices.
Requirements
- 2-3 years of experience in workplace experience, corporate hospitality, high-end community management, or administrative roles with environmental ownership.
- Proven ability to operate autonomously, managing budgets, vendors, and complex logistical projects.
- Superior verbal and written communication skills.
- Natural ability to connect with diverse teams and build relationships across all organizational levels.
- Ability to prioritize effectively and adapt quickly, balancing technical facility tickets and event planning.
- Deep experience in supply, inventory, and vendor management.
- Commitment to excellence, treating every office detail as part of a premier guest experience.
- Vibrant attitude and ability to thrive under pressure in a fast-paced, evolving corporate landscape.
- Ability to move dynamically and lift up to 30 lbs for event setups and inventory management.
