About the Role
The Workplace Services Manager, ANZ provides leadership and operational oversight for Workplace Services supporting BeOne Medicines’ AUS office in Sydney. This role ensures a safe, efficient, well-managed, and professional workplace environment that supports business operations and delivers a positive experience for employees and visitors. Regular on-site presence is required to manage daily workplace operations, respond to business needs, and maintain service standards. Key responsibilities include office administration, stationery and pantry management, vendor and building management, mail and shipping services, on-site events, employee communications, support for meeting hubs across other Australian cities, and coordination of property management activities in Australia. The role serves as the primary point of contact for facility-related matters and provides practical guidance to colleagues on day-to-day workplace operations. The incumbent is expected to understand, interpret, and appropriately apply relevant local laws, regulations, policies, and standards within the scope of the role. The WPS Manager will work closely with ANZ Leadership teams and partner effectively with key BeOne business functions, including Commercial, R&D, Legal/Compliance, Global Security, EHS, Human Resources, Finance, Corporate Affairs, GTS, and leaders within the global Workplace Services organization to ensure consistent, compliant, and business-aligned service delivery.
Responsibilities
- Manage daily office operations and administrative services, including supplies, equipment, furniture, and access cards.
- Supervise the outsourced Sales Administration support team.
- Maintain and update the Australia WPS Connect page.
- Coordinate visitor support and logistics.
- Support property management activities in Australia.
- Coordinate employee safety checks and workplace communications during emergencies.
- Provide responsive support on workplace services matters to stakeholders.
- Partner with ANZ leadership and stakeholders to align WPS services with business priorities.
- Attend leadership and stakeholder meetings for WPS updates and follow-through.
- Establish and maintain workplace service channels for timely responses.
- Provide workplace services support to Commercial, R&D, and other business functions.
- Coordinate logistics for business visits, town halls, and other events.
- Support cross-functional workplace activities.
- Partner with HR for employee lifecycle processes, including onboarding and offboarding.
- Support IT-related workplace coordination, including handling IT equipment.
- Provide practical support to employees on workplace processes and tools.
- Manage vendor and building management relationships.
- Manage financial administration, including PR/PO processing and cost reporting.
- Support regional WPS planning and resource allocation.
- Ensure service delivery within approved budgets and procurement requirements.
- Identify opportunities for efficiency, standardization, and service quality improvement.
- Partner with EHS for local workplace support and compliance.
- Support workplace safety, emergency response, and employee wellbeing.
- Apply relevant local laws, regulations, policies, and standards.
Requirements
- Tertiary qualification in facilities management, business administration, workplace services, or related discipline preferred, or equivalent relevant experience.
- 10+ years relevant experience in workplace services, facilities management, or office operations.
- Experience in pharmaceutical, biotechnology, healthcare, or similarly regulated industry highly regarded.
- Strong customer service, communication, organizational, and prioritization skills.
- Demonstrated leadership capability, including guiding teams, managing vendors, and driving initiatives.
- Sound judgment and problem-solving capability.
- Collaborative, self-directed, and service-oriented.
- Commitment to quality, continuous improvement, and a safe, respectful workplace.
- Proficiency in Microsoft Office applications (PowerPoint, Word, Excel).
- Proficiency in collaboration tools (Microsoft Teams, Outlook).
- Working knowledge of Microsoft Copilot.
- Competency in Mandarin, Japanese, or Korean is an advantage.
