About the Role
The Private Events Manager oversees all aspects of private event operations, focusing on sales and revenue. This full-time, onsite, relationship-driven role balances client-facing sales with operational oversight, collaborating with Sales, Events, and Food & Beverage leadership to grow the business and deliver high-standard events.
Responsibilities
- Develop new connections and grow existing business through relationship cultivation, networking, and client prospecting.
- Manage outbound sales strategies, including cold calls, sales blitzes, social media, and digital marketing.
- Connect with new potential clientele weekly.
- Respond to event inquiries via email and phone.
- Upsell private event clients on food & beverage, third-party vendors, and enhancements.
- Build and manage digital and printed sales materials.
- Assist in managing department costs to meet budgetary goals.
- Build and manage client contracts, proposals, invoices, BEOs, and floorplans, ensuring deadlines are met.
- Manage in-house staffing levels, including line staff scheduling.
- Oversee inventory of event items, including banquet furniture, equipment, beverages, and dry goods.
- Manage the annual events calendar and stay familiar with the San Francisco convention calendar.
- Supervise private events check tabulation and ensure timely completion.
- Coordinate events effectively with culinary and food & beverage teams.
- Communicate effectively with other departments for smooth service delivery, including daily briefings.
- Manage multi-million dollar program budgets, including invoicing, payment schedules, and final billing.
- Develop project strategy from concept to completion across multiple departments.
- Oversee day-to-day implementation, including SOW development, contract negotiation, staffing, vendor selection, and on-site operations.
- Assist the Member Events team with planning large internal events.
- Establish and maintain strong client relationships.
- Inform supervisor of all private event issues.
- Make personal contact with guests during events and assist with requests.
- Maintain floor presence and communicate directly with clients on-site.
- Greet clients upon arrival and introduce them to the Manager on Duty.
- Follow up with clients post-event to measure satisfaction.
- Exceed guest expectations and communicate unmet needs to the supervisor.
- Help hire and train event staff.
- Attend pre-shift meetings and conduct professional line-ups before events.
- Lead and attend weekly BEO meetings.
- Manage and schedule internal hourly employees and outsourced labor.
- Create clear guidelines for back-of-house and front-of-house team members.
- Uphold grooming standards and check staff appearance.
- Inform staff of upcoming private events.
- Communicate unresolved employee issues to the supervisor immediately.
- Ensure maintenance of standards, policies, and procedures.
Requirements
- High school diploma or equivalent.
- Minimum three years of event planning and sales experience in an upscale casual or fine dining atmosphere.
- Basic math and computer skills, including Google Office Suite and MS Office familiarity.
- Familiarity with event software and BEO generation.
- Valid food handler’s and RBS certification.
- Flexibility with schedule, including evenings, weekends, and holidays.
- Ability to work 40+ hours per week.
- Ability to understand and follow written and verbal instructions.
- Ability to maneuver freely through all areas of the property.
- Heavy member/guest contact.
- Ability to tolerate varying noise levels, temperature, illumination, and air quality.
- Hand-eye coordination and manual dexterity.
- Ability to respond to visual or aural cues.
- Ability to bend, twist, lean, lift, push, pull, kneel, walk, stand, and/or sit up to 8+ hours per shift.
- Ability to lift up to 50 pounds.
- Ability to work in a fast-paced and sometimes stressful environment.
