Responsibilities

  • Assist with planning and executing Premium Hospitality logistics and services.
  • Organize private hospitality experiences, events, and services for MGS Suites and Loge Box clients, including client outreach, pre-event communications, operational planning, ticket fulfillment, F&B services, and event day management.
  • Assist with pre-planning hospitality contractors, project timelines, and premium operations execution for shared hospitality.
  • Assist with contracting and fulfilling assets and rental orders for hospitality spaces and villages at COTA events and major races.
  • Assist with overall operations of event design execution for major races, including collecting layouts, design plans, contracting and securing rental orders, and assisting with setup and strike.
  • Oversee budget tracking for operational expenses related to major race hospitality and village areas.
  • Assist with project coordination for Peppermint Parkway, including design, budget tracking, staff planning, setup, and strike.
  • Ensure COTA hospitality spaces and services exceed client expectations.
  • Assist with and develop client relations, including premium gifting, thank you cards, amenities, and special touches for events.
  • Assist Manager, Guest Experience with the E+H intern program, coordinating daily schedules and projects.
  • Ensure high COTA standards and customer satisfaction levels property-wide.

Requirements

  • 1-2 years of service experience (event/entertainment industry preferred).
  • Ability to work nights and weekends as needed.
  • Ability to work in stressful situations while remaining focused.
  • Ability to take direction and follow through on requests.
  • Ability to stand, sit, use hands to handle or feel, and reach with hands and arms.
  • Ability to lift and move up to 15 pounds.
  • Possess close vision and distance vision abilities.
  • Ability to endure seasonal temperatures, including outdoor work.

Skills

  • Excellent interpersonal, verbal, and written communication skills.
  • Proficiency in Excel, Outlook, and Word.
  • Ability to manage high detail across multiple projects simultaneously.
  • Ability to work independently and manage time effectively.
  • Ability to work effectively within a team environment.
  • Ability to maintain a flexible work schedule for special event responsibilities.
