About the Role
Serve as the operational backbone for engineering and product teams, connecting technical leads, stakeholders, and cross-functional partners. Ensure productive meetings, documented decisions, preserved knowledge, and seamless communication.
Responsibilities
- Attend and facilitate lead and cross-functional meetings.
- Capture accurate meeting minutes, including decisions, action items, owners, and deadlines.
- Distribute meeting summaries to stakeholders within 24 hours.
- Maintain a structured archive of meeting notes for reference.
- Prepare meeting agendas in collaboration with meeting owners.
- Create presentations for leadership reviews, sprint demos, and program updates.
- Author and maintain documentation in the team knowledge base (e.g., Confluence, Notion).
- Translate complex technical concepts into accessible documentation.
- Develop and update runbooks, process guides, onboarding documents, and project wikis.
- Ensure knowledge base articles are accurate, up-to-date, and discoverable.
- Draft and send stakeholder emails for testing completion, milestone achievements, and status updates.
- Coordinate with QA, engineering, and product teams for accurate status communication.
- Manage communication cadence to keep stakeholders informed.
- Follow up on open action items and escalate blockers to program leads.
- Maintain stakeholder distribution lists for targeted communications.
- Track program milestones, timelines, and dependencies.
- Identify and proactively surface risks to leadership.
- Support sprint planning, retrospectives, and quarterly planning.
- Assist in managing project tracking tools (e.g., Jira, Asana, Linear).
Requirements
- 2–5 years of experience in program management, technical coordination, or a similar role.
- Exceptional written and verbal communication skills.
- Strong ability to synthesize complex discussions into clear, actionable summaries.
- Proficiency with documentation tools (Confluence, Notion, Google Docs).
- Experience with presentation tools (PowerPoint, Google Slides, Keynote).
- Highly organized with strong attention to detail and follow-through.
- Comfortable working in a fast-paced technical environment.
Skills
- Familiarity with software development lifecycle (SDLC) and agile methodologies.
- Experience with project tracking tools (Jira, Asana, Linear).
- Exposure to QA/testing processes and terminology.
- Background in a technical domain (engineering, product, or data).
- PMP, PMI-ACP, or CSM certification.
