About the Role

The Events & Programming Coordinator supports new and ongoing initiatives to activate retail assets within HPP’s portfolio, including the San Francisco Ferry Building. This role reports to the Director of Programming and Events.

Responsibilities

  • Support retail marketing and public event execution at public-facing assets like the San Francisco Ferry Building.
  • Collaborate on seasonal initiatives, giveaways, events, and promotions.
  • Maintain event calendars for public, merchant, and tenant events.
  • Track event and programming expenses.
  • Assist with permitting and scheduling with city agencies (e.g., SFDPH, SFFD, ABC, BCDC, Port).
  • Draft event descriptions and collect marketing assets (graphics, photos, links).
  • Create public event ticket pages and monitor sales.
  • Respond to public event queries professionally.
  • Create event timelines and layout diagrams.
  • Provide administrative support for event contracts.
  • Collect, process, and track vendor invoices and Certificates of Insurance (COIs).
  • Research, order, and track supply inventory.
  • Act as the main onsite contact for public events.
  • Collaborate with property, security, engineering, and custodial teams from planning to execution.
  • Facilitate event set-up, merchant communication, and vendor management on event days.
  • Act as a thought partner for events, retail, and marketing.
  • Provide onsite photography for events and special offerings.
  • Track digital social trends for events and retail.

Requirements

  • Minimum two years of related work experience.
  • 4-year degree from an accredited college or university (preferred).
  • Flexible scheduling, including nights and weekends.
  • Strong creative instincts and collaborative ability.
  • Expert time management and organizational skills.
  • Ability to communicate positively with partners, vendors, and retail merchants.
  • Effective verbal and written communication in English.
  • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Ability to read and interpret safety rules, operating instructions, and procedure manuals.
