About the Role
Support Firm initiatives by executing high-quality, engaging events and assignments, providing outstanding client service in a fast-paced environment. This role reports to the Director, Client Development & Engagement, based in the Los Angeles office.
Responsibilities
- Organize, coordinate, and support execution of Firm-sponsored events, including regional, practice group, sponsorships, alumni, and client-related events, from planning to post-event follow-up.
- Coordinate logistical event support, including venue/vendor research, site inspections, invitation design, list development, mailings, menu selection, décor, staffing, and promotional items.
- Serve as liaison for contracting venues, caterers, and vendors, ensuring a seamless process by managing version control, deadlines, status updates, and clear communication.
- Establish and cultivate relationships with event service providers, including restaurants, caterers, and hotels, staying informed on industry changes.
- Track expenses, process invoices, and assist with post-event reconciliation and ROI to ensure budget adherence.
- Execute event protocol with stakeholders, ensuring exceptional delivery, service, and attention to detail.
- Research and implement ways to optimize event planning, including new technology, attendee experience, success analysis, and cost-effective approaches.
- Partner with CDE, Events, Marketing Technology, Communications, and Administration colleagues to monitor event progress and achieve objectives.
- Maintain CRM integrity by adding and updating event-related information.
- Coordinate and execute Bay Area client holiday gifting program, including gift selection, sourcing, timely ordering/delivery, internal coordination, and logging for tracking, compliance, and CRM.
- Support other Firm initiatives as needed.
- Collaborate with stakeholders in other departments and offices as needed.
- Perform additional duties as needed.
Requirements
- 2+ years of relevant events management experience.
- Excellent written and oral communication skills.
- Excellent planning, time management, and organizational skills.
- Ability to work independently and collaboratively in a demanding environment.
- Strong attention to detail and self-motivation to produce accurate, timely, and complete work.
- Strong project management skills, initiative, and ability to manage multiple projects concurrently.
- Strong problem-solving and analytical skills to make sound decisions, provide solutions, and escalate as appropriate.

- Ability to commute to primary office for in-office work a minimum of four days per week and for event coverage.
- Flexibility and willingness to work additional hours as needed.
- Ability to travel as needed, including between Palo Alto and San Francisco offices.
