About the Role

This pivotal role bridges strategic academic planning and on-the-ground delivery, ensuring smooth program operation, effective resource management, and excellent support for staff and students. The Academic Coordinator will report to the Programme Lead/Assistant Program Leads and collaborate with various faculty members to coordinate academic operations across the institution's portfolio.

Responsibilities

  • Oversee day-to-day programme administration.
  • Coordinate class schedules.
  • Support academic planning activities.
  • Organise student and staff induction programmes.
  • Ensure teaching resources (lecture rooms, software, library lists) are available before each term.
  • Manage setup and distribution of teaching and assessment materials.
  • Maintain up-to-date content on the Learning Management System (LMS) and shared drives.
  • Track teaching progress and assignment schedules.
  • Produce reports identifying issues (e.g., grading delays, class cancellations) and recommend solutions.
  • Onboard new lecturers.
  • Maintain faculty schedules and contact lists.
  • Facilitate regular faculty meetings.
  • Support staff professional development initiatives.
  • Maintain accurate academic records, attendance data, progression records, and programme documentation.
  • Produce regular reports and dashboards for academic monitoring, planning, and decision-making.
  • Serve as a point of contact for student academic enquiries.
  • Monitor student engagement metrics (attendance, LMS activity).
  • Coordinate follow-up interventions to support student success and retention.
  • Support implementation of academic policies (assessment, feedback, academic integrity, programme delivery).
  • Maintain programme records.
  • Prepare documentation for audits, quality reviews, academic boards, and partnership requirements.
  • Maintain precise academic records (enrolments, progress data, monthly dashboard reports).
  • Assist in ensuring compliance with academic regulations and reporting requirements for the LAAT-Plymouth Marjon University partnership.
  • Maintain accurate administrative records (enrolments, assessments, progression, attendance, academic activities) in accordance with institutional policies and GDPR.
  • Oversee LMS configuration and upkeep.
  • Enrol users and upload content to the LMS.
  • Run LMS audits.
  • Provide LMS guidance to staff and students.
  • Process academic-related invoices, purchase requests, and expenditure records.
  • Liaise with internal departments and external suppliers for academic resource and service procurement.

Requirements

  • Proven experience in academic administration or coordination, preferably in UK higher education.
  • Strong working knowledge of learning management systems (e.g., Moodle).
  • Strong working knowledge of student information systems.
  • Excellent organisational and multitasking abilities.
  • Ability to manage complex processes across multiple programmes.
  • Clear, confident communication skills.
  • Ability to liaise effectively with faculty, students, and external partners.
