About the Role

The Senior Executive Assistant provides support to an individual or group by handling correspondence, managing calendars and appointments, arranging conferences and calls, making travel arrangements, and performing other administrative tasks.

Responsibilities

  • Directly support a C16 level manager and generally support an entire department
  • Manage day-to-day calendar(s) of senior management
  • Coordinate all aspects of executive level manager appointments, meetings, receptions, and conference calls
  • Prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other documents
  • Coordinate travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepare, reconcile, and track expense reports through the Travel and Entertainment Expense system
  • Order supplies and process invoices through the Procure to Pay system
  • Process and follow-up on Virtual Requests
  • Assist in ad-hoc reports and special projects as needed
  • Train, coach, or guide other administrative staff when required
  • Assess risk in business decisions, ensuring compliance with laws, policies, and ethical judgment, and escalating control issues transparently

Requirements

  • Previous office administration experience, preferably within a large and complex financial services or similar organization
  • Investment Banking experience preferred

Skills

  • Microsoft Office proficiency
  • Clear and concise written and verbal communication
  • Ability to quickly gain command of new systems
  • Self-motivation
  • Detail orientation
