About the Role

Own global administration of employee equity programs, including grant, vesting, tax, and reporting processes. This high-visibility role intersects with People, Payroll, Finance, and Legal, supporting RBI's talent reward operations. Responsibilities include end-to-end equity plan administration, multi-jurisdictional tax validation, ESPP and dividend administration, and ensuring data integrity for compliance and disclosure. The role reports to the Sr. Director, Global Compensation and is critical for employee equity and tax planning. The ideal candidate thrives in a dynamic environment, demonstrates strong attention to detail and confidentiality, and drives process improvement projects to scale equity administration.

Responsibilities

  • Prepare and load annual grant files in the equity platform, map grant award agreements, and reconcile employee reports post-load.
  • Process award vesting and dividend payouts, along with quarterly audit in the equity platform.
  • Partner with the ESPP vendor to process employee contributions on a bi-weekly basis.
  • Validate multi-jurisdictional tax withholdings for large employee vesting events and stock option exercises.
  • Work closely with the Payroll team to ensure timely payment of taxes related to equity transactions.
  • Update employee information in systems and maintain ongoing data accuracy.
  • Assist with quarterly audits and data verification processes for all equity compensation plans.
  • Prepare and provide relevant information to other People (HR) groups, Finance, and Legal teams.
  • Oversee communication with employees on equity administration processes.
  • Run training sessions for employees on the administration system as needed.
  • Manage and maintain documentation of all processes related to equity administration.
  • Identify and drive process improvement projects.

Requirements

  • Bachelor’s degree in Business, Finance, or a related field.
  • 7+ years of experience in equity compensation administration, including multi-jurisdiction (US and Canada) programs.
  • US equities experience a must.
  • High level of proficiency with Excel, including advanced functions and pivot tables.
  • Strong analytical and organizational skills with a high level of attention to detail.
  • Familiarity with equity administration platforms (e.g., Shareworks/Solium, Fidelity, E*TRADE/Morgan Stanley at Work).
  • Demonstrated ability to maintain confidentiality with sensitive compensation and personal data.
  • Excellent verbal and written communication skills.
  • Certified Equity Professional (CEP) designation, or progress towards certification, is an asset.
  • Experience administering global equity plans (RSUs, PSUs, stock options, ESPP) across multiple jurisdictions.
  • Hands-on experience administering on Shareworks/Solium.
  • Experience with Workday.
  • Familiarity with AI and automation tools (Power Automate, ChatGPT/Claude agents/assistants).

Salary/Compensations

  • Total target compensation combines a competitive base, an annual bonus, and long-term equity.
  • Base salary range of C$140,000-160,000.
  • Annual bonus target of 30% of base salary.
  • Eligible to participate in the Company’s annual discretionary bonus plan.
  • May be eligible for additional compensation in the form of equity grants.
