About the Role
Support the Visual Design Team as the operational lead for project coordination and delivery post-design phase. Ensure efficient, on-budget concept delivery by managing briefing, timelines, procurement, logistics, suppliers, and installations. Act as a key liaison between Visual Design, VM, business teams, and external partners. Align ways of working with global frameworks, maintain clear communication, manage budgets, and enforce strong project discipline. Streamline creative workflows using systems and tools, driving continuous improvement and high-quality creative output. Act as a gatekeeper for incoming requests, ensuring complete briefs and managed expectations.
Responsibilities
- Collaborate and support the manufacture, delivery, installation, and derig of all trade and promotional activity across UK and TR, ensuring strong creative execution in line with Visual Design intent.
- Procure and manage 3D design concepts and technical layouts from the Visual Design team through to installation, ensuring compliance with guidelines and specifications.
- Manage supplier relationships, procurement processes, reporting, and accountability, ensuring effective delivery, clear communication, and value for money.
- Oversee budgets, financial administration, and PO coding, maintaining accurate foresight and clear communication of working budgets to internal stakeholders.
- Support sustainability and CSR initiatives by embedding environmentally responsible practices, managing material lifecycles, and ensuring recycling of redundant or end-of-life assets.
- Proactively manage communications, keeping teams informed of timelines, risks, delays, and changes, while evolving tools, systems, and workflows to improve efficiency and campaign execution.
- Support with project management of all graphic design projects within the Visual Design Team.
- Work closely with internal departments to coordinate engaging and interactive design concepts for staff events such as product launches.
- Work with the PR team to coordinate high-profile Open-Door PR events in Head Office and externally for influencers and magazine editors, including project management, installation, and derig.
- Manage artworking, layouts, approvals, and communications across projects to support activity.
- Coordinate emails, invitations, and internal collateral to support Wellness@CHANEL events.
- Support all internal teams with coordination of locally designed initiatives.
- Support internal teams with assistance for invitations and occasional events.
- Get involved with Social Commitment at CHANEL to build networking opportunities and support across the business from a design and coordination perspective.
- Support the field visual merchandisers and wider design team in day-to-day tasks.
- Complete any other tasks deemed appropriate for the role.
- Manage the lifecycle of all creative projects, overseeing localisation and adaptation of global initiatives and UK-led projects in alignment with Global AD objectives, from briefing through to delivery.
- Act as the central point of contact for creative requests, sense-checking briefs, ensuring documentation accuracy, milestones, and progress reporting for timely, qualitative delivery.
- Work alongside the 5Q2 display team with logistical tasks and storage requirements.
Requirements
- Highly organised, collaborative, and detail-driven with strong interpersonal skills.
- Clear interest in design or retail design, supported by relevant coordination or project experience.
- Drive efficient ways of working by implementing, maintaining, and improving processes, ensuring consistency, quality, and adherence to workflows and deadlines.
- Build strong, trusted relationships across the business to understand stakeholder needs, support collaboration, and embed learnings through structured wash-ups and continuous improvement.
- Operate confidently in a fast-paced environment, demonstrating strong organisation, clear communication, and the ability to work both independently and as a proactive team player.
- Genuine interest in Retail Design, VM Design, and Project Management, with a curious mindset, sustainability awareness, and relevant industry experience.
- Confident using Adobe Creative Suite (InDesign, Illustrator, Photoshop) and Microsoft Office.
- Flexibility to work from a London-based office and remotely when required.
