About the Role
Provide administrative support to the People and Culture Department, efficiently responding to employee inquiries to ensure maximum satisfaction and compliance with Four Seasons policies.
Responsibilities
- Maintain harmonious and professional relationships with co-workers, supervisors, and all departments.
- Comply with and enforce Four Seasons’ Work Rules and Standards of Conduct.
- Build and maintain excellent relationships with all vendors.
- Assist management and employees with concerns or questions.
- Provide support in other departmental areas as needed.
- Perform daily administrative duties including filing, copying, faxing, emails, and answering telephone inquiries.
- Assist the People and Culture Manager with recruitment, including application responses, reference checks, and new hire paperwork.
- Maintain and update all employee records in Workday.
- Maintain confidentiality of departmental information, including conversations, personal data, and medical files.
- Administer and update employee medical and benefits plans for new hires, transfers, or promotions.
- Organize annual events such as health check-ups and influenza flu shots.
- Provide assistance for employee relations, including direct line committee organization, communication, bulletin boards, employee of the month program, picnics, parties, and townhall meetings.
- Communicate effectively with employees regarding People and Culture and Hotel information.
- Ensure timely receipt and posting of People & Culture internal and outgoing mail.
- Ensure all employee areas, including cafeteria and locker rooms, are clean and well maintained.
- Track, prepare, and present service awards in a timely manner.
- Perform additional duties as assigned by the People and Culture Manager.
Requirements
- Apply an ethical approach to situations.
- Plan and monitor duties for effective and efficient resource use to impact Hotel/Resort objectives.
- Work in a safe, prudent, and organized manner.
- Possess legal work authorization for Japan.
- Be fluent in English business communication.
- Be fluent in Japanese business communication.
