About the Role
The payroll team manages over 1300+ individual payroll processes and 1,800+ attendance records monthly with 4 team members, emphasizing close communication and collaboration for efficient operations. As a Payroll & Labor Specialist, you will manage new joiners, leavers, and LOA employees, provide employee support on taxes and social insurance, review statutory procedures, and ensure quality improvement and compliance of payroll-related processes. Deep knowledge of payroll/labor management is required, though monthly payroll calculation is not a direct responsibility.
Responsibilities
- Manage onboarding/offboarding for joiners and leavers
- Check employee-entered information and submitted documents
- Follow up on necessary corrections and additional information
- Manage attendance
- Monitor working hours and PTO (Paid Time Off) of employees
- Review Childbirth/Childcare/Medical LOA (Leave of Absence) applications
- Respond to employee inquiries regarding taxes and social insurance
- Provide guidance on income tax, residential tax, social insurance
- Explain required paperwork and offer application support for health insurance dependent registration
- Liaise and coordinate with payroll and social security attorney vendors
- Support issue resolution and process improvement
- Support audit response and compliance
- Prepare necessary documents and improve internal control processes
Requirements
- Work experience in Human Resources
- Practical knowledge and understanding of employee onboarding/offboarding
- Practical knowledge and understanding of payroll operations
- Practical knowledge and understanding of attendance management
- Practical knowledge and understanding of social insurance
- Practical knowledge and understanding of income tax
- Experience in operating payroll/time and attendance system (e.g., Dayforce, ADP)
- Accuracy and attention to detail
- High communication skills for employee interaction
- Strong sense of confidentiality and compliance
- Native level Japanese with English communication skills (reading, writing and speaking)
- Work experience in a global company, shared services or social/labor law firm
- Experience in process improvement and vendor management
- Accounting/financial knowledge related to salary payment
- Experience in leveraging BI tools (e.g., Tableau, Power BI)
