Golden State Group is looking for a dedicated and creative professional to provide high-level executive support to the President. In this role, you will be a key member of the organization, coordinating complex travel and calendar management, coordinating communications, and organizing projects and events. Responsibilities
- Proactively manage scheduling, anticipating conflicts and making judgment calls with minimal guidance
- Coordinate a high volume of internal and external meetings including staff meetings, quarterly board meetings, cross-functional reviews, virtual meetings, off-site events, and one-on-ones
- Assist with food orders, meeting logistics, agenda support, and note taking
- Provide agendas, event briefing materials, and appropriate documents in a timely manner ahead of meetings
- Ensure agendas and clarify context and purpose with senior leaders and participants for meetings
- Manage travel arrangements (flight, hotel, car) for domestic and international business travel including events, meetings and offsites
- Coordinate comprehensive logistics including ground transportation, visa requirements, and detailed itineraries
- Manage expense reporting duties, including submitting expense reports and receipts in a timely manner
- Process vendor invoices and coordinate with finance on event-related budget tracking
- Assist with special projects as needed, including team member engagement programs and leadership offsite planning
Requirements
- Bachelor’s degree or equivalent experience
- 6+ years of experience providing administrative support to SVP or C-level executives
- High integrity and ability to maintain confidentiality of all work product and sensitive information
- Proficient with Microsoft Office Suite and Google Suite
- Familiarity with AI and productivity tools such as Google Gemini, Asana, and Slack
- Excellent interpersonal skills and business acumen
- Ability to communicate with employees at all levels within the organization
- Operates with flexibility, responsiveness, ownership, and strong judgment
- Strong attention to detail and proofreading ability
- Ability to juggle and prioritize simultaneous tasks within a dynamic environment
