About the Role
The Marketing Event Coordinator plays a pivotal role in delivering exceptional, high-touch events that elevate client experiences and strengthen brand impact. Working closely with internal teams and external partners, you’ll support the seamless execution of curated events—from private dinners to large-scale experiential gatherings. Responsibilities
- Support the planning and execution of corporate and invitation-only events, including client dinners, networking events, loyalty experiences, sponsorships, and leadership offsites
- Assist with end-to-end event logistics, including venue coordination, vendor communication, timelines, guest lists, invitations, and on-site support
- Prepare event documentation such as timelines, checklists, run-of-show documents, briefing materials, and post-event analysis
- Ensure all event details are delivered accurately and on schedule, escalating risks or issues proactively
- Provide on-site event support, assisting with setup, execution, and breakdown
- Coordinate with internal stakeholders, vendors, venues, and partners to ensure alignment and execution success
- Track approvals, updates, and deliverables across stakeholders
- Support destination research, venue sourcing, and site visits
- Travel domestically for event support and venue scouting as needed
- Assist with event communications including invitations, emails, RSVP tracking, and follow-ups
- Organize and maintain digital asset libraries including photos, videos, marketing collateral, and contracts
- Support post-event reporting, analysis, and debrief materials
- Assist with budget tracking, invoice processing, and expense reconciliation
- Maintain organized documentation of contracts, agreements, and financial records
- Support the creation of marketing collateral including invitations, presentations, signage, and digital content
- Assist with graphic design and video creation using tools such as Adobe Creative Suite and Canva
- Ensure all creative assets are accurate, on-brand, and version-controlled
- Contribute to a safe, inclusive, and accessible work environment where all Flighties feel welcomed, respected, and supported to thrive.
Requirements
- 1–3 years of experience in event coordination, hospitality, marketing support, or administrative roles
- Exceptional attention to detail and strong organizational skills
- Ability to manage multiple priorities and deadlines simultaneously
- Strong written and verbal communication skills
- Experience working with multiple stakeholders and external vendors
- Willingness to travel domestically for events
- Familiarity with Adobe Creative Suite (InDesign, Photoshop, Illustrator, Premiere Pro) and Canva is preferred
