About the Role
The Administrative Assistant provides various levels of support to the local office, from routine hospitality and facilities tasks to production of legal documents. They partner with numerous departments to ensure smooth operation of the office, processing vendor invoices, ordering supplies, and preparing monthly Concur reports. This role also assists Legal Assistants in providing comprehensive support to attorneys, including conflict and engagement management, expense report preparation, and document revision. The ideal candidate is a motivated, organized, detail-oriented collaborator capable of managing multiple tasks simultaneously.
Responsibilities
- Process invoices and monthly expense reports in Concur.
- Run conflict checks and open new client engagements.
- Create engagement letters.
- Assist in the preparation/revision of correspondence, pleadings, and other documents.
- Assist with scheduling.
- Close matters as instructed.
- Upload documents and emails to Netdocs document management system.
- Input attorneys’ time in InTapp.
- Book and organize travel arrangements.
- Proofread documents.
- Perform routine hospitality and facilities tasks.
- Prepare mail and packages for shipping.
- Sort and distribute incoming mail.
- Assist with document reproduction and processing: copying, scanning, date stamping, and preparing binders.
- Troubleshoot and perform minor repairs of office equipment.
- Schedule service calls for office equipment as needed.
- Prepare conference rooms for meetings, including setup and cleanup.
- Order office and other supplies.
- Function as liaison with internal departments and outside agencies.
- Provide other administrative assistance as appropriate and requested.
Requirements
- One year of experience in a legal environment is preferred.
- Strong verbal and written communication skills.
- Ability to multi-task, respond to deadlines, and balance workload.
- Working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong people skills and ability to work well in a cooperative office environment.
- Ability to communicate with attorneys and support staff on every level.
