About the Role
The Scheduling Specialist coordinates patient appointment scheduling for Durable Medical Equipment (DME), Positive Airway Pressure (PAP) devices, and oxygen therapy services. This role ensures efficient equipment delivery, setup, and maintenance while providing high-quality customer service to patients and healthcare providers. The lead specialist also serves as a subject matter expert, mentor, and trainer for the team.
Responsibilities
- Coordinate delivery appointments for DME, PAP, and oxygen equipment based on patient needs and technician availability.
- Arrange routine maintenance, equipment exchanges, compliance checks, and equipment pickups.
- Prioritize and expedite scheduling for critical patient needs, including emergency oxygen and urgent replacements.
- Manage after-hours and weekend service delivery when required.
- Confirm appointments with patients and communicate schedule changes or delays.
- Collaborate with physicians, home health agencies, and hospital discharge planners to align equipment delivery with treatment plans.
- Resolve scheduling conflicts and manage cancellations to optimize daily productivity.
- Maintain accurate scheduling records and patient information in management systems.
- Generate daily, weekly, and monthly scheduling reports and performance metrics.
- Utilize scheduling software and route optimization tools effectively.
- Ensure compliance with HIPAA regulations and company operational standards.
- Conduct new hire training and provide mentorship to team members.
Requirements
- High school diploma or equivalent.
- One year of work-related experience.
- Proficiency with computers, office equipment, and telecommunications systems.
- Ability to maintain patient confidentiality and work within HIPAA guidelines.
- Ability to work independently with minimal supervision.
- Flexibility for occasional extended hours during emergencies or peak periods.
- Ability to lift up to 20 pounds.
