About the Role
This role provides comprehensive support to the Head of the department, including interdepartmental coordination, meeting arrangements, expense processing, monthly reporting, data aggregation, departmental analysis, and minute-taking. It also involves supporting translation needs for various international meetings and visitors, assisting with departmental month-end closing, managing administrative tasks, and supporting diverse projects.
Responsibilities
- Support Head of Department with interdepartmental scheduling and meeting coordination.
- Manage departmental schedules and handle various bookings.
- Process expenses, manage monthly reports, and aggregate data.
- Conduct departmental analysis and prepare meeting minutes.
- Provide translation support for APAC KPM team, APAC Salesforce team, Sika sister company meetings, and international visitors.
- Arrange itineraries, escort, and accompany international visitors.
- Handle departmental month-end closing and workflow applications.
- Manage outgoing shipments and office supplies.
- Support events such as briefings, seminars, and kickoff meetings.
- Assist with ongoing Salesforce projects, new factory construction projects, association establishment, and other new initiatives.
Requirements
- Minimum 5 years of experience in secretarial or assistant roles.
- Proficient in Word, Excel (arithmetic operations, VLOOKUP, charts, pivot tables), and PowerPoint (document creation).
- Proficient in English-Japanese translation.
- Experience in interpretation or equivalent English proficiency is required.
