About the Role
The Documentation Technician contributes to the smooth operation of library services by performing technical tasks related to acquisition, documentation access, circulation, document processing, user support, and the use of library resources and tools. The role involves supporting collection activities by monitoring technical aspects of acquisitions, including reception, verification, material processing, and updating records, in accordance with established procedures.
Responsibilities
- Create acquisition records.
- Support order tracking, subscriptions, and claims, maintaining control lists and statistics.
- Receive, verify, and physically prepare documents (stamping, labeling, shelving).
- Process documents according to current standards and procedures.
- Catalog and integrate digital resources, considering access rights.
- Track digital periodical resources based on license terms.
- Document access issues for digital resources.
- Conduct collection inventory and follow up as needed.
- Welcome, inform, and guide users in person and remotely.
- Provide first-line support for using platforms (discovery tool catalog, interlibrary loans) and library services.
- Manage circulation operations: loans, returns, renewals, reservations, fee collection, and policy application.
- Process interlibrary loan requests and follow up with partners.
- Assist with basic research support (document retrieval, basic references) and refer specialized requests.
- Participate in library service outreach and promotion activities.
- Participate in training workshops on documentation (catalog, discovery tool, databases).
- Contribute to the creation of video tutorials on library activities and products.
- Maintain usage statistics (circulation, ILL, attendance) and produce simple reports.
- Contribute to the continuous improvement of procedures (loan, processing, reservations, access) and report system anomalies.
- Collaborate with internal services (IT, student services) to resolve operational issues and ensure service continuity.
- Collaborate on the configuration of virtual library management applications.
- Onboard student employees as needed.
- Support access to electronic resources (authentication, links, remote access) and provide first-line troubleshooting.
- Update library pages/tools (guides, FAQs, information messages) as instructed and report technical problems.
- Maintain library equipment and escalate issues to IT as needed.
- Collaborate on developing new guidelines and procedures.
- Perform other related tasks as required by the supervisor.
Requirements
- College degree (DEC) in Documentation Techniques or equivalent.
- Minimum of two (2) years of relevant experience in a library or documentation center (circulation, processing, user support).
- Proficiency with IT tools (Microsoft 365 Suite) and a library management system (LMS).
- Experience with digital resources (databases, e-periodicals, e-books).
Skills
- Proficiency in research and cataloging tools, with the ability to clearly explain their use.
- Knowledge of an integrated library system (LMS) and acquisition, processing, and circulation operations.
- Knowledge of interlibrary loan system operations.
- Excellent French communication skills (oral and written).
- Functional English is an asset.
- Customer service orientation, initiative, teamwork, and ability to collaborate with various departments.
- Rigor, organizational skills, and attention to detail.
- Ability to manage multiple requests and priorities.
