About the Role

The Contract Support role requires close liaison with Contract Managers, Engineers, and external contacts to process all paperwork, ensuring clients and sites receive a professional and accurate service.

Responsibilities

  • Deal with day-to-day enquiries from the BGIS team and clients.
  • Produce financial and statistical reports for the contract portfolio.
  • Work closely with site teams to ensure responsibilities are carried out in a timely fashion.
  • Raise Work Orders for new contracts, jobs, and quotes.
  • Raise Purchase Orders and place orders for engineers and sub-contractors.
  • Complete all paperwork for monthly billing.
  • Raise and close month PPMs for the team.
  • Supervise all WIP for the Contract portfolio, ensuring invoices are produced in a timely manner.
  • Ensure all client files are maintained accurately and kept up-to-date.
  • Process timesheets, job sheets, and expenses weekly.
  • Log holiday and sickness for team engineers.
  • Perform day-to-day admin including photocopying and filing.
  • Handle annual archiving of client files.
  • Respond positively to internal and external customers through effective communication and personal accessibility, while optimizing contract performance.
  • Ensure all documentation regarding Health & Safety and Company Legislation is received from Sub-contractors.
  • Maintain site sub-contractor records and the Log Book System.
  • Process labour timesheets and engineers' holiday and sickness records.
  • Produce statistical reports on a weekly and monthly basis.
  • Process and pass for payment all supplier and sub-contractor invoices and deal with any queries.
  • Take ownership of all tasks through to completion.

Requirements

  • Must have experience in processing timesheets, job sheets, and expenses weekly.
  • Must have experience in logging holiday and sickness for engineers.
  • Must have experience in performing day-to-day admin including photocopying and filing.
  • Must have experience in handling annual archiving of client files.
  • Must have experience in ensuring all documentation is received from Sub-contractors with regards to Health & Safety and Company Legislation.
  • Must have experience in maintaining site sub-contractor records and the Log Book System.
  • Must have experience in processing labour timesheets and engineers holiday and sickness records.
  • Must have experience in producing statistical reports on a weekly and monthly basis.
  • Must have experience in processing and passing for payment all supplier and sub-contractor invoices and dealing with any queries.
  • Must have experience in taking ownership of all tasks through to completion.
