About the Role
The Medical Secretary will provide high-quality secretarial and administrative support to consultants, managing calls, liaising with patients, scheduling appointments, and handling correspondence. The role requires effective and sensitive communication to ensure a world-class service and patient experience.
Responsibilities
- Serve as an administrative point of contact and liaison between patients and consultants.
- Support consultants and patients with queries related to treatment pathways.
- Collaborate with patient access and business office teams to facilitate a seamless patient journey.
- Manage and prioritize multiple assignments under the direction of the Medical Secretary Manager.
- Edit consultant schedules and diaries, coordinating patient appointments.
- Respond to queries from patients and staff.
- Correspond with patients via telephone, email, and letter.
- Compose and prepare various correspondence, including medical reports and forms.
- Communicate effectively with other hospital departments to facilitate the patient journey.
- Arrange and schedule meetings.
- Coordinate with theatre and endoscopy teams to plan case lists.
- Oversee annual leave management for anaesthesia staff and record additional sessions for payroll.
- Maintain professional communication with anaesthetists, consultants, and relevant departments.
- Manage and respond to queries from medical secretary and anaesthesia inboxes.
- Perform other assigned duties.
Requirements
- Medical secretary experience in a private healthcare setting is essential.
- Proficiency in Microsoft Office is essential.
- Effective and sensitive communication with patients is essential.
- Exceptional prioritization and organization skills are essential.
- Experience using Electronic Medical Records systems is desirable.
- This role may be subject to a Disclosure and Barring Service (DBS) check.
