Responsibilities

  • Update and maintain project information in PMO tools and trackers (status, milestones, RAID, plans, resource inputs).
  • Ensure reporting data is complete, consistent, and submitted on time across projects.
  • Support PMO dashboards and scorecards by preparing and validating data.
  • Help improve templates and trackers for easier adoption and better data quality.
  • Support project cost tracking (budget, forecast, actuals) using PMO trackers and available finance data.
  • Assist with variance checks (planned vs. actual spend) and highlight gaps or missing inputs.
  • Help Project Managers prepare financial updates for governance forums and monthly reporting.
  • Collect estimation inputs (effort, timeline, cost assumptions) from delivery teams using defined templates.
  • Perform basic validation checks (missing fields, outdated assumptions, mismatched totals).
  • Maintain simple historical reference logs (e.g., estimate vs. actual patterns) to support future planning.
  • Track Resource Loading Plan (RLP) against actual effort/cost using available timesheet or delivery metrics.
  • Prepare variance summaries and flag early signals (overruns, underutilization, inconsistent reporting).
  • Support program/project execution reporting and health tracking.
  • Support governance routines (weekly/monthly project review packs, follow-ups, action tracking).
  • Coordinate collection of inputs from PMs and workstream leads (status, risks, issues, dependencies).
  • Maintain document repositories and ensure version control for key PMO artifacts.

Requirements

  • Strong Excel skills (pivot tables, lookups, basic analysis).
  • Comfortable working with structured trackers and project tools (e.g., Jira, MS Project, SharePoint lists).
  • Ability to spot data gaps, inconsistencies, and variances.
  • Detail-oriented, disciplined, and able to follow standard processes.
  • Clear communicator who can follow up professionally with multiple stakeholders.
  • Ability to manage deadlines and recurring reporting cycles reliably.
