About the Role
We’re looking for a highly organized, proactive Administrative Coordinator to anchor our leadership team, directly supporting six key leaders. This early-to-mid-career position offers a dual career path, ideal for experienced administrative professionals or ambitious individuals seeking a strategic entry into commercial production.
Responsibilities
- Manage calendars and schedules across multiple time zones for the Managing Director and other executives.
- Handle complex scheduling for client meetings, internal syncs, and all-company meetings.
- Resolve booking issues, manage last-minute itinerary adjustments, and ensure travel logistics align with calendars.
- Process expense reports and ensure accurate, timely executive time entry for project billing.
- Coordinate on-site logistics for all-company initiatives, including ordering and setting up lunches.
- Provide comprehensive logistics support for leadership team offsites, including location scouting, booking, catering, and dinner reservations.
- Coordinate monthly All-Hang virtual meetings, ensuring conference rooms are booked and technology is functional.
- Support logistics for the annual company offsite, including travel, venue booking, catering, and swag sourcing.
Requirements
- 2-4 years of experience in an administrative, coordination, or project-based role, ideally within a creative agency, production house, or fast-paced environment.
- High comfort level learning and mastering digital platforms.
- Prior experience with NetSuite and Navan (or similar corporate enterprise expense and travel tools) is a major plus.
- Deep comfort with the Google Workspace suite (Docs, Sheets, Slides, Forms) is required.
- High emotional intelligence and clear, transparent communication.
- Ability to ask clarifying questions to busy executives.
- Approach interactions with candor, humility, and a sense of humor.
- Care about the human element and making people feel connected and included.
- Enjoy the puzzle of a messy calendar or a complex travel itinerary.
- Ability to calmly pivot and find solutions when plans shift.
- Regularly handle sensitive agency data, executive schedules, and high-level internal initiatives.
- Maintain impeccable discretion at all times.
- Ability to track down budget-friendly caterers, negotiate with vendors, and research event locations.
- Treat company resources with care and take pride in executing high-quality events without overspending.
