About the Role
Responsible for the day-to-day administration of policies, procedures, and programs to ensure a well-managed and maintained building portfolio. Emphasis is placed on providing positive responses to occupant needs and quality programs, aligning with client goals and the Master Service Agreement.
Responsibilities
- Maintain continual communication with clients, landlords, or managing agents regarding property conditions.
- Ensure and update auditing procedures for all managed functions according to company and client policies.
- Assist in developing and executing maintenance programs to ensure customer satisfaction.
- Manage facilities staff and ensure continuous service to buildings.
- Provide premium customer service to staff, tenants, and clients.
- Administer programs to measure customer satisfaction and address issues with staff.
- Develop and administer the Property Operating Plan and Budget.
- Collect and analyze operational data reports.
- Participate in selecting contract services, negotiating vendor agreements, and monitoring vendor performance.
- Collaborate with staff to set and achieve performance and developmental goals.
- Process paperwork for salary increases and ensure equal opportunity within the department.
- Attend external or in-house activities and meetings as directed.
- Identify and implement projects for process improvement and business streamlining.
- Oversee mailroom, office services, work environment, and space utilization.
- Collaborate with clients on Green Initiatives.
- Perform other duties as assigned.
Requirements
- Minimum 5 years of previous facilities management experience.
- Participation in a recognized professional association (e.g., IFMA).
- Ability to handle multiple projects and make decisions.
- Knowledge of computers.
Skills
- Strong oral and written communication skills.

- Certified in facilities management and IFMA designation as Certified Facility Manager, not required but desirable
