About the Role

Under general supervision, this role is responsible for handling and dispatching all mail, packages, and interoffice correspondence. Responsibilities may also include copy center activities, reception, hospitality, and other assigned duties.

Responsibilities

  • Ensure total customer satisfaction through understanding customer expectations, proactive problem identification/resolution, and relationship building.
  • Receive, sort, and deliver all incoming mail and packages within established time frames.
  • Wrap, seal, weigh, affix postage, and dispatch all outgoing mail/packages according to postal regulations.
  • Prepare and send special outgoing inter-office pouches to client affiliates as scheduled.
  • Package and process outgoing overnight items (e.g., Federal Express, UPS) to meet deadlines.
  • Log and deliver incoming overnight packages within established time frames.
  • Log outgoing and incoming items, reviewing for accuracy and completeness.
  • Organize and distribute supplies to client employees, verifying and logging orders upon delivery.
  • Monitor inventory of copy supplies, stock paper and toner, and maintain a neat supply area.
  • Handle items for distribution to client employees, affiliates, and dealers.
  • Estimate runtime for photocopy jobs, check copies for quality and accuracy, and produce bound copies when requested.
  • Perform minor maintenance of photocopy machines, including solving paper jams, placing service calls, and routine cleanings.
  • Operate facsimile machines, send and receive facsimiles, and maintain accurate logs.
  • Input facsimile data into the computer for client charge back where appropriate.
  • Generate activity and confirmation reports, and confirm receipt of facsimiles as necessary.
  • Prepare monthly production and volume reports for productivity measurement and billing.
  • Perform administrative duties such as inserting, copying, photocopying, and faxing.
  • Set up and maintain client kitchen areas and conference rooms, order food, and make coffee.
  • Provide reception work, including answering telephones, taking messages, and greeting visitors.
  • Move boxes, supplies, or furniture, and replace light bulbs.
  • Perform document scanning.
  • Prepare outgoing items for shipping.
  • Learn new features and functionalities of copying machines, faxes, scanning, and shipping equipment as introduced.
  • Perform additional duties as assigned.

Requirements

  • High school diploma or equivalent.
  • 0-1 year of experience in a mailroom or professional office environment.
  • Ability to perform routine functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems, photocopying, color copying, binding, etc.).
  • Excellent customer service skills.
  • Professional attitude and appearance are required.
  • Ability to work overtime and meet deadlines.

Skills

  • Knowledge of metering, weighting, logging, and other shipping procedures preferred.
  • Computer skills preferred.
  • Customer service
