About the Role
The Facilities Coordinator (FC) will be part of the Enterprise Workplace Strategy team, overseeing the Service Desk and Mail Room in Shinagawa HQ and Osaka. This role also remotely provides facility services to other offices in Tokyo and Kanagawa. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment, with a strong customer service orientation, proactive problem-solving approach, great hospitality, vendor management skills, and flexibility.
Responsibilities
- Supervise and support the EWS Service Desk team.
- Provide administrative support including invoice processing, SAP, invoice plan/limit, PO requisitions, payment due date management, stationery and business card ordering.
- Manage daily office inspection, coffee machine/tea dispenser, and receptionist services.
- Oversee security management, including security badge and building card management.
- Cover the Mail Room during lunch breaks as needed.
- Deliver concierge services with local expertise and insider knowledge.
- Manage transportation requests from visitors and employees.
- Process vendor invoices through Work Order Management (Corrigo).
- Conduct cleaning inspections.
- Manage office assets.
- Receive and process incoming work order requests.
- Attend facilities projects, including after-hours and weekend work.
- Serve as the point of contact for facilities-related inquiries and requests.
- Handle corporate seal requests in alignment with the Client and Building Security Centre.
- Support the Facilities Manager (FM) with assigned tasks and act as a backup in their absence.
- Support local EWS stakeholders on IFM-related follow-ups.
Requirements
- 3-years’ experience in GA and/or Facilities Management.
- Diploma/degree from an accredited institute.
Skills
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Ability to prioritize tasks effectively.
- Time management skills.
- Ability to meet tight schedules and deliver high-quality work.
- Good command of communication in both Japanese and English.
- Good personality with a balance of professionalism and friendliness.
