About the Role
As an important member of our team based in Berlin, you will be accountable for the day-to-day administration and operation of the Berlin, Milan and Istanbul offices. You will have strong finance skills with experience of accounts payable, reconciliations and associated administration tasks. By efficiently managing administrative, office protocols, Health & Safety and facilities tasks, you'll empower the team to concentrate on driving customer growth.
Responsibilities
- Provide operational support to the Trade Commissioner and the team based in Berlin and remotely to the Milan and Istanbul based team members.
- Manage logistics across the three offices.
- Handle invoice processes.
- Oversee team finances.
- Ensure seamless payroll and budgeting support for the office.
- Manage reporting and audit requirements across the offices.
- Manage office vendor relationships.
- Support IT related activities.
- Support local visits of business and ministerial delegations.
- Provide event support and logistics.
Requirements
- Fluency in both English and German are essential.
- Fluency in Italian is preferred but not required.
- Outstanding administrative service delivery.
- Excellent and collaborative relationships with key stakeholders.
- Proactive attitude.
- Excellent problem-solving skills.
- Actively seeking work or identifying ways to improve processes, systems and practices.
- Highly organised with the ability to juggle priorities and meet strict deadlines for administration and finance tasks.
- Own your part of the financial process to keep the Berlin, Milan and Istanbul finances running smoothly and within deadlines.
- Ensure payroll management, invoices, budgeting, asset management and internal and external audits are completed in a timely manner.
- A Finance related qualification is advantageous but not required if you have existing strong experience within finance functions.
- Must have the right to work in Germany.
