About the Role

Bernstein Administrative Assistants are client service professionals who collaborate with Financial Advisors and Management to drive growth within the Private Wealth Management Platform. This role offers an opportunity to partner with senior investment professionals to serve diverse client needs.

Responsibilities

  • Partner with financial advisors to enhance productivity and efficiency through service and support functions.
  • Prepare advisors for client and prospect meetings by creating presentations, materials, and reports.
  • Manage advisor calendars, including scheduling and maintaining meetings.
  • Serve as the primary point of escalation for client inquiries and administrative requests.
  • Proactively communicate with advisors regarding priorities and practice/client impacting changes.
  • Build strong relationships with clients and their professionals, responding to needs with urgency.
  • Collaborate with internal teams to complete tasks, find solutions, and support business goals.
  • Participate in office event coordination, including strategy calls, attendee outreach, and logistics.
  • Manage general office maintenance tasks, including supply ordering and facilities management.
  • Perform general administrative duties such as correspondence, answering phones, database maintenance, expense management, and travel arrangements.
  • Answer internal and external telephone calls and cover the reception desk.
  • Manage data entry, tracking, and coordination for team initiatives.
  • Undertake additional projects of increasing responsibility as tasks are mastered.

Requirements

  • 3-5 years of administrative or executive support experience in a corporate or professional setting.
  • Ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, deadline-oriented environment.
  • Strong time management and organizational skills.
  • Client-focused with a high attention to detail.
  • Accomplished team player thriving in a rigorous and challenging environment.

Skills

  • Exceptional communication and relationship-building skills.
  • Outstanding verbal and written communication skills.
  • Strong proficiency in Microsoft Office.
  • Experience with Salesforce preferred.

Salary/Compensations

  • Base Salary Range: $70,000 to $80,000
  • Total compensation is competitive and comprised of base salary plus overtime.
