About the Role
This role is not a typical Administrative Assistant position. You will support senior leadership, partner with dynamic teams, and contribute to client and colleague interactions globally. Opportunities extend beyond administration to team management, customer engagement, marketing, and social media strategy.
Responsibilities
- Be a trusted partner to three Partners, managing complex calendars, travel, expenses, and priorities across time zones.
- Anticipate needs and ensure seamless day-to-day execution for Partners.
- Support budget preparation and tracking for Partners.
- Coordinate internal and external meetings, client engagements, and senior-level interactions across time zones.
- Support client-facing project work, including scheduling, contract coordination, CRM updates, and deliverable preparation.
- Manage and enhance client engagement infrastructure, including contact databases and customer profiles.
- Oversee financial and administrative processes such as expense management, invoice handling, and budget tracking.
- Provide coverage and support for other Administrative Assistants as needed.
Requirements
- Bachelor’s Degree or equivalent work experience required.
- Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
- Proficiency in internal collaboration tools and messaging systems (e.g., MS Teams).
- Experience supporting senior stakeholders in a fast-paced, professional services environment.
- Exceptional organizational and prioritization skills with the ability to manage multiple high-priority tasks simultaneously and work under pressure.
- Excellent written and verbal communication skills.
- Ability to interact confidently with senior leaders and clients.
- Proactive mindset with a flexible, friendly, and positive attitude.
- Keen sense of customer and client service and problem-solving orientation.
- Excellent attention to detail, accuracy, and organizational skills.
- High level of discretion and professionalism when handling confidential information.
- Comfortable working independently and collaborating across teams.
- Proficiency in Microsoft Dynamics or similar CRM system is a plus.
- Familiarity with AI in administrative and office management work is a plus.
