About the Role
This role is responsible for the end-to-end payroll process for UK OTRB Brands, Ireland Diesel, and Nordic Diesel, providing comprehensive support to the HR Manager for payroll and benefits tasks on a regional basis. The department oversees all Retail and Head Office employees across the UK & Nordics. This position will also collaborate closely with the HR Specialist, offering training and coaching as needed.
Responsibilities
- Runs end-to-end payroll processes for UK, Ireland, and Nordics.
- Calculates payments for starters, leavers, and mid-month changes.
- Serves as the first point of contact for payroll queries from Retail Stores and Head Office.
- Administers monthly payroll deductions.
- Processes monthly additional payroll runs for the UK when necessary.
- Calculates and prepares manual payments.
- Administers all statutory filings.
- Performs accurate reconciliation and statutory reporting for all payrolls.
- Completes month-end reporting, including HC & FTE reporting, monthly journals, and various accruals.
- Conducts monthly payroll reviews with Finance and investigates issues, escalating to the HR Manager as appropriate.
- Carries out year-end processes and reporting.
- Manages internal year-end processes with Finance and external Auditors.
- Supports the HR Manager on seasonal projects like Budgeting and Forecasting, taking ownership of specific aspects.
- Calculates and communicates bonuses for Head Office and Retail.
- Administers pension schemes and reporting.
- Manages voluntary benefits administration, including healthcare, dental, childcare vouchers, cycle to work, and season ticket loans.
- Calculates and communicates maternity, paternity, and shared parental leave benefits.
- Processes Company Cars.
- Handles P11D and PSA processing.
- Supports the HR team with contractual information and employee inductions regarding pay and benefits.
- Assists the HR team with administration and system support.
- Ensures timely distribution of all HMRC paperwork each month.
- Supports employees with electronic payslips and P60s.
- Ensures annual distribution of P11Ds.
- Performs HMRC and GL account reconciliations.
- Communicates National Statistics and turnover figures.
- Maintains departmental KPI trackers and annual results.
- Manages the payroll mailbox.
- Supports departmental archiving and filing.
- Assists the HR Manager in implementing and maintaining processes and procedures.
- Undertakes projects as directed.
Requirements
- Previous payroll administrative and internal processing experience of running an in-house payroll is crucial, at least 2-3 years.
- Experience with implementing new payrolls is beneficial.
- Excellent written and spoken communication skills are required.
- Excellent organizational skills, with the ability to plan tasks to meet rigid payroll processing deadlines.
- Ability to work under pressure and process high volumes of detailed work in a short timeframe.
- Self-motivated, able to work independently with limited supervision while displaying enthusiasm to assist team members.
- Positive and committed attitude, with a hands-on approach.
- Proactive, methodical, and tenacious.
- Advanced payroll and Excel skills are necessary.
- Retail experience is preferred.
- Experience working with Finance is desirable.
- SAP Success Factors & Peoplesoft knowledge is beneficial.
- Must act as a brand ambassador at all times, reflecting a professional and positive demeanor.
- Exceptional attention to detail with a proactive and flexible approach.
- Confident approach, able to operate effectively and efficiently across the region with limited supervision.
- Ability to deputize in the HR Manager's absence.
- Must be confidential, commercially aware, and team-oriented.
