About the Role

The Administrative Operations Coordinator will create structure, maintain organization, and ensure efficient business operations. This role focuses on supporting operations, maintaining workplace readiness, improving administrative processes, and ensuring critical information remains accessible.

Responsibilities

  • Support daily business operations through coordination and administrative follow-through
  • Assist managers with administrative requests, tracking, and project coordination
  • Organize tasks, deadlines, and commitments
  • Coordinate meetings, action items, and internal follow-up
  • Prepare and maintain reports, documents, and internal communications
  • Maintain a professional and organized workplace
  • Coordinate office supplies, consumables, equipment, and vendor services
  • Monitor workplace needs and proactively address operational issues
  • Manage deliveries, shipments, mail, and courier services
  • Build and maintain digital filing systems within Microsoft 365
  • Ensure document accuracy, accessibility, and version control
  • Identify opportunities to improve administrative processes and efficiency
  • Develop trackers, templates, and workflows to improve consistency
  • Support the development and maintenance of Standard Operating Procedures
  • Leverage Microsoft 365 and AI tools to improve productivity
  • Coordinate ordering processes and follow-up with service providers
  • Track inventory and workplace resource management
  • Maintain records of company-issued devices and equipment
  • Coordinate device setup, tracking, repairs, and returns
  • Act as an internal point of contact for technology and equipment requests
