About the Role
The Property Administrator provides administrative and operational support across Dixon Hall’s housing projects, playing a significant role in housing administration for the supportive housing portfolio.
Responsibilities
- Respond to inquiries from tenants and site staff verbally and in writing.
- Initiate verbal and written communication with tenants requesting information to support tenancy administration.
- Review and interpret tenant information for accuracy and compliance regarding tenancy accounts.
- Maintain manual and automated tenant and property files, including tenancy agreements, letters issued to tenants, vacancy reports, and rent records.
- Monitor and track tenant rent payments, follow up on rent arrears, issue arrears letters and N4s, and assist in preparing L1s for the LTB.
- Manage the tenancy lifecycle from unit viewings to lease signings to move-ins and provide tracking and coordination of vacancies.
- Support the Property Managers in preparing Confirmation Letters and leases.
- Coordinate unit vacancy reporting to the housing support team, the City’s Coordinated Access, and the maintenance team for unit turnover.
- Participate in unit inspections and document follow-up actions with Property Managers and tenants.
- Issue Notices of Entry (NOEs), behavioral letters, and tenant correspondence.
- Support Property Managers with administrative work and vendor management.
- Work closely with the RGI Specialist, providing coverage as needed.
- Provide management support to the Property Managers.
- Communicate verbally and in writing in languages other than English is an asset.
Requirements
- Completion of secondary school graduation with post-secondary courses in a relevant field (e.g., business administration, property management).
- Minimum of two years of demonstrated work experience in an office or administrative environment.
- Ability to investigate and solve problems creatively within established policies and procedures.
- Excellent oral and written communication skills.
- Excellent interpersonal skills and professional boundaries.
- Knowledge of community resources and services.
- Certificates in first aid, CPR, crisis prevention, and intervention are assets.
- Must be legally qualified to work in Canada.
- Able to provide a Vulnerable Sector Screening check with a 'Clear' or satisfactory result.
- Strong knowledge of Microsoft Office Suite (Word, SharePoint, Excel).
