About the Role
The Executive Assistant (EA) provides high-level administrative support to the CEO, managing schedules, communications, travel, and special projects to ensure the smooth functioning of the Office of the CEO. This role also supports the CEO's interactions with the executive team and the Board of Directors.
Responsibilities
- Serve as the 'gatekeeper' for internal and external constituencies, using discretion to determine appropriate courses of action.
- Schedule and manage a calendar of calls, videoconferences, and in-person meetings.
- Maintain the CEO's contacts in Outlook and electronic files via Sharepoint.
- Keep the CEO informed of upcoming commitments and responsibilities, providing preparatory materials in advance of meetings.
- Maintain tasks and deliverables in Asana related to CEO meetings and follow-ups.
- Arrange travel, including transportation and lodging, and ensure necessary preparatory materials are obtained.
- Coordinate semiweekly executive team meetings, soliciting agenda items and disseminating materials.
- Draft written and email correspondence on behalf of the CEO.
- Complete special projects as requested by the CEO, which may involve research, analysis, and document formatting.
- Create PowerPoint presentations as needed.
- Prepare annual department budgets for the Office of the CEO and monitor expenditures.
- Initiate and execute contracts in Salesforce; coordinate payments to consultants and vendors.
- Provide operational and logistical support for the executive team’s activities.
- Organize materials for executive team discussions and follow up on action items.
- Coordinate with various departments to ensure effective communication and collaboration on executive-level initiatives.
- Support LIIF’s diversity practices by identifying and using women/minority vendors.
- Identify ways to streamline company operations and practices for improved productivity.
- Perform other related duties as assigned.
Requirements
- Superior project management skills with the ability to work independently in a fast-paced environment.
- Demonstrated ability to manage complex schedules, travel arrangements, and logistics efficiently.
- High standard for generating quality work with attention to detail, thoroughness, and creativity.
- Strong interpersonal skills, with the capability of working independently and collaboratively as part of a team.
- Ability and experience with AI tools, primarily MS Co-Pilot.
- Strong administrative and organizational skills.
- Excellent verbal and written communication abilities.
- Capacity to handle complex logistical arrangements.
- Excellent attendance, self-motivation, attention to detail, and a high degree of flexibility.
