About the Role
The Coordinator, Market Event Production supports the planning, coordination, and execution of internal and third-party events for TIFF: The Market and TIFF. This role contributes to the seamless delivery of high-quality events that align with strategic priorities and meet stakeholder expectations.
Responsibilities
- Coordinate all aspects of production for assigned events, including run of show, audiovisual/technical requirements, front of house, food & beverage, facility/security services.
- Develop event experiences aligned with TIFF: The Market and TIFF’s strategic and programming objectives.
- Ensure a consistent and elevated experience for TIFF Lightbox clients, including internal teams, external partners, and guests.
- Lead the production, setup, and closeout of in-person and digital events.
- Manage communication for internal and external event information for TIFF Lightbox 3rd party events and TIFF: The Market and TIFF internal events.
- Liaise with relevant departments regarding Event Production processes.
- Maintain and foster client and partner relationships throughout event planning and execution.
- Oversee visitor, patron, and attendee experience during event planning and execution.
- Coordinate building facilities support for events, including security and cleaning.
- Oversee preparation of materials and inventory for efficient event execution.
- Coordinate site visits and tours of facilities with third-party clients.
- Perform administrative tasks, including purchase order requests, event reports, and processing estimates and invoices.
- Perform other related duties as required.
Requirements
- Minimum 2 years of experience in event planning and production of cultural or corporate events.
- University degree, college diploma, or equivalent work experience.
- Experience with festivals is an asset.
- Well-developed verbal and written communication skills.
- Strong project and people management skills.
- Dynamic and outgoing personality with sound judgment, tact, and discretion.
- Excellent administrative and organizational skills; ability to prioritize and manage concurrent duties.
- Professional manner and "can-do" attitude; ability to take direction and show initiative.
- Ability to work independently and in a team environment.
- Excellent attention to detail, budgets, timelines, and objectives.
- Knowledge of Microsoft Office, Google Products, and database software is an asset.
- Creativity to develop innovative solutions; knowledge of special events trends within the cultural sector.
- Understanding and commitment to superior client servicing.
- Well-developed interpersonal and public relations skills to interface with senior corporate personnel, TIFF staff, volunteers, and stakeholders.
- Ability to work and respond well in fast-paced and high-pressure environments.
- Adaptable to flexible work schedule including some evenings and weekends.
- Legally able to work in Canada.
- Visa must allow completion of the full contract if on time-limited Visa status.
