About the Role
Cleveland Clinic London is seeking a Bank Clinical Operations Coordinator to provide flexible operational support to the Clinical Operations team, ensuring the smooth and efficient running of clinical institutes and shared resources. This role contributes to the delivery of high-quality patient care by providing additional coordination capacity to support evolving service demands.
Responsibilities
- Be responsible for the accuracy and maintenance of schedules, including on-call schedules.
- Ensure processes are followed and optimized, including revenue capture, cost allocation, and payment processing.
- Use various systems and platforms to report and forecast activity, identifying and escalating issues, risks, and barriers.
- Work closely with Coordinators, administrative teams, Consultants, and clinical teams to facilitate ad hoc activity scheduling.
- Gather information and data, and draft analysis and presentations to support institute management.
- Support improvement initiatives as directed.
- Understand organizational and institute priorities and how own role contributes.
- Identify barriers to achieving targets and escalate appropriately.
- Support operational activities to deliver institute objectives.
- Monitor basic financial performance and highlight variances.
- Collect, input, and audit data as directed.
- Raise Requisitions/POs, ensure payment, and track spend under oversight.
- Support budget management for team/department as directed.
- Liaise with internal teams to support operational activities.
- Escalate issues requiring senior input.
- Support communication with Consultants, clinical teams, and other internal teams.
- Gather data for business cases, growth initiatives, or service development projects.
- Prepare initial drafts of reports or presentations for review.
- Support workforce and service capacity analysis under guidance.
- Ensure delivery and reporting of new consultant onboarding checklist.
- Audit, identify, and deliver continuous improvement recommendations and actions for workflows, scheduling, billing, consultant administration, finance, and activity data.
- Follow through on assigned tasks reliably and take responsibility for personal deliverables.
- Report progress and issues to line manager.
- Be approachable and responsive, taking ownership of resolving queries.
- Escalate issues clearly and promptly.
- Build trusted relationships with line manager and wider Clinical Operations team.
- Retrieve, interpret, and communicate data from various sources and audit trails.
- Support monthly performance reporting on quality, activity, and finance metrics.
- Learn to use required systems and platforms tools, including EHR, workforce systems, and data visualization platforms.
- Communicate clearly across in-person, phone, and email channels.
- Support preparation of presentations for internal meetings.
- Demonstrate willingness to learn new skills and systems.
- Maintain a high level of professionalism and high standards of documentation.
- Participate in cross-team initiatives.
- Deputize for Institute Manager as requested and cross-cover other Coordinators as required.
- Perform other duties as assigned.
Requirements
- Significant experience coordinating or managing various projects (essential)
- Track record of working in a skilled Coordinator role, collating, compiling, and presenting data and other information in both report and presentation format (essential)
- Intermediate competency with Excel (required)
- Track record of working to Continuous Improvement methodology in current or previous roles (desirable)
- Experience working in the Healthcare sector (NHS or Private) (desirable)
Skills
- Track record of manipulating and analysing data using Excel or similar tools (desirable)
- Advanced Excel skills including data manipulation and basic modeling skills (desirable)
