About the Role
Reporting to the Sales Manager, the incumbent will work at the Sales Gallery and receive guests arriving to attend the sales preview. Responsibilities include guest check-in, customer service, guest confirmation, gift distribution, reporting, cost control, and administrative duties.
Responsibilities
- Promote good working relationships between the Sales Gallery and all other departments, ensuring clear lines of communication are maintained.
- Lead by example by maintaining high standards and professional leadership, inspire, motivate and be an active hands-on participant.
- Assist the Sales Manager in the overall efficient operation of the Sales Gallery as well as generation of reports.
- Respond to and manage in a timely manner any guest concerns or complaints in conjunction with any relevant departments i.e. Marketing, Customer Delivery.
- Ensure all guests are greeted and registered in a timely manner, and that all gallery administrative support associates provide the highest level of guest service in their interaction with tour guests at all times.
- Ensure that all cash operation accounts are regularly checked and audited and any discrepancies are immediately reported to the Finance department and Sales Manager.
- Ensure that Sales Gallery facilities, property and assets are maintained to a high standard at all times.
- Manage vouchers' count and inventories.
- Managing inventories and ordering and invoices of items in Gallery.
- Closing of manifest in OTM.
- In charge of line order.
- Completing reports required for sales operations.
- Perform other duties as requested.
- Provide translation services.
- Occasionally dealing with customer enquiries, vendors, partners, or other relevant contacts.
- Support M&S management on projects and ad hoc tasks.
Requirements
- Bachelor's degree holder preferred and/or minimum of two (2) years of related experience (e.g. Assistant, Administration).
- Experience working as a team assistant/coordinator for sales/marketing team in a small to medium companies.
- Experience working in multinational companies and using English in business occasion.
- Ability to manage multiple priorities and be a self-starter.
- Be flexible work schedule depends on business needs (e.g. visitor visit).
Skills
- Proficiency in communicating, reading and writing in Japanese and English.
- Proficiency in the use of IT skills (e.g. Outlook, Teams, Excel, PowerPoint, and Word).
- Excellent time management, organizing skills and attention to details.
