About the Role

This role is for someone who wants to operate directly alongside a Founder and become part of the operational backbone, managing projects, solving operational problems, and handling logistics.

Responsibilities

  • Coordinate projects, driving topics forward without constant founder involvement.
  • Perform operational follow-ups, ensuring nothing is lost and everything is closed.
  • Manage stakeholder communication, both internal and external.
  • Handle inbox and information management, prioritizing, filtering, and forwarding.
  • Manage travel and logistics flexibly, reliably, and with anticipation.
  • Handle personal operational tasks with the same professionalism as business tasks.
  • Manage sensitive situations and ad-hoc requests by remaining calm and finding solutions.
  • Perform documentation and research in a structured, fast, and usable manner.

Requirements

  • Obsessive reliability; things do not slip through your hands.
  • Emotional stability under pressure; you do not become reactive when things get chaotic.
  • High self-responsibility; you do not wait for instructions, you solve problems.
  • Discretion and loyalty are non-negotiable.
  • Structured thinking and the ability to transform chaos into order.
  • Strong communication skills: clear, direct, and useful.
  • Low ego; you want to achieve impact, not be seen.
  • Comfort in ambiguity and rapid context switching.
  • Typical backgrounds include project coordination, founder office roles, operational roles in startups or scaleups, consulting with strong execution experience, VC Platform/Portfolio Operations, High-Level Executive Support, or backgrounds from military or elite performance environments.
  • Experience in remote-first organizations is a plus.
  • Knowledge in HealthTech or regulated markets is a plus.
  • Languages: German (C1+) and English are required; other languages are a plus.
