About the Role

This is a maternity cover position supporting the office of our Executive Vice President of Touring UK. You will oversee promoter, marketing, and ticketing teams for all UK concerts, collaborating daily with internal and external stakeholders. Attention to detail and workflow management are essential.

Responsibilities

  • Provide comprehensive diary management for the EVP Touring, including scheduling internal and external meetings, events, and conference calls.
  • Manage the EVP's inbox, exercising sound judgment, discretion, and an understanding of business priorities.
  • Attend meetings, record actions, prepare and distribute minutes, and ensure follow-up on key actions.
  • Build and maintain strong working relationships with senior stakeholders across Live Nation businesses.
  • Liaise with department heads across the business and high-profile external stakeholders.
  • Support the EVP and wider team with administrative, organizational, and private office requirements.
  • Assist with prioritization of workloads, meeting schedules, and key business activities.
  • Organize team lunches, business events, and other internal functions.
  • Compile, maintain, and distribute relevant email distribution lists.
  • Coordinate hotel accommodation requests for promoters and business stakeholders.
  • Coordinate pass and accreditation requests for promoters and business stakeholders.
  • Process and reconcile expenses accurately and within required deadlines.
  • Support the delivery of ad hoc projects, presentations, and reports.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Coordinate domestic and international travel arrangements.
  • Prepare meeting agendas, presentations, and briefing materials.
  • Act as a key point of contact for internal and external stakeholders.

Requirements

  • Proven experience working as a Personal Assistant (PA), Executive Assistant (EA), or in a similar senior administrative support role.
  • Experience supporting senior executives and managing complex and competing priorities.
  • Exceptional organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent attention to detail and a high degree of accuracy.
  • Strong written and verbal communication skills.
  • Advanced IT skills, including proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Proven ability to build and maintain effective relationships with stakeholders at all levels, both internally and externally.
  • Knowledge of the live music, entertainment, or events industry.
  • High levels of professionalism, integrity, and discretion when handling confidential information.
  • Highly self-motivated, proactive, and able to work independently using sound judgment and initiative.
  • Ability to work effectively under pressure in a fast-paced environment.
