About the Role
The Receptionist will be permanently based on the reception desk, covering the front of house function. This role represents St James and its clients, providing a high level of customer service and professionalism to ensure client satisfaction. The Receptionist will liaise with occupiers and make the building their own.
Responsibilities
- Take full ownership of the reception and associated areas, ensuring they are kept in the best possible order.
- Liaise with cleaners, facilities, security, and other departments as necessary.
- Ensure all functions are carried out in accordance with stipulated protocols and procedures.
- Maintain up-to-date St James Operations Manual, occupier procedures, and phone database.
- Serve as a presentable and professional first point of contact for all guests, visitors, occupiers, and clients.
- Meet and greet all guests and visitors, providing exceptional service.
- Sign in guests and visitors according to security procedures and direct them to the relevant floors.
- Assist guests, visitors, occupiers, and clients with queries, comments, and suggestions knowledgeably and professionally.
- Receive and answer calls promptly and efficiently, transferring calls as appropriate.
- Manage difficult or distressed callers calmly and professionally.
- Report accidents or incidents where appropriate.
- Handle post and deliveries, recording them in line with the building's Team Agreement/Operations Manual.
- Perform administrative duties including word processing, photocopying, ordering stationery, and facilities management tasks.
- Possess good knowledge of meeting room space and requirements, liaising with the meeting rooms coordinator.
- Ensure the reception area is kept organised, clean, and tidy at all times.
- Stand to greet all visitors.
- Be present and ready to greet at the allocated time.
- Maintain good working relationships with colleagues.
- Adhere to St James policies and procedures, code of conduct, and emergency procedures.
- Undertake any other duties as deemed necessary to support the client, customer, colleagues, and St James.
Requirements
- Proven working knowledge of customer service experience.
- Previous experience is essential in a similar corporate background.
- Good command of the English language.
- Working knowledge of IT with experience of using Microsoft Office.
