About the Role
As a General Affairs Specialist, you will lead smooth office operations for the Japan base, creating a comfortable and safe working environment for employees. You will also serve as an executive assistant to the Country Head, contributing to the efficiency of executive tasks and strengthening global collaboration. Business-level English is essential for communication with global teams.
Responsibilities
- Office environment maintenance, layout change planning and coordination
- Inventory management, purchasing management, and asset management (e.g., office furniture)
- Liaison with suppliers and building management companies
- Project member for office relocation, renovation, or major facility changes, including planning, vendor coordination, schedule management, and on-site support
- Contract management (renewal schedule management/approval process)
- Health, safety, environmental (EHS), disaster prevention, and business continuity planning (BCP) response
- Internal regulations and document management (preparation, revision, promotion of digitalization)
- Planning and operational support for internal events (town halls, company events, etc.)
- Management of mail and courier reception, dispatch arrangements, and distribution to internal departments
- Reception desk management (preparation of visitor response flow, coordination with building reception, management of outsourced reception services, etc.)
- Creation and dissemination of internal communications
- Support for base operations through collaboration with management and other relevant departments
- Schedule management and meeting coordination for the Country Head
- Travel arrangements and expense reimbursement support for the Country Head
- Meeting material preparation support for the Country Head
- Visitor reception and VIP escort for the Country Head
- Liaison with domestic and international stakeholders for the Country Head
Requirements
- Minimum 3 years of experience in general affairs, administration, or assistant roles within a company
- Native-level Japanese and business-level English proficiency (reading, writing, meeting participation)
- Coordination skills and multitasking ability
- High communication and interpersonal skills
- PC skills (Outlook, Excel, PowerPoint, Teams, etc.)
