About the Role

In this role, you will support the board and office manager in preparing and following up on committee work (Board of Trustees, expert committees, advisory board) and actively shape the further development of the UPD Foundation.

Responsibilities

  • Organization and coordination of committee meetings, including appointment scheduling, room booking, and technical preparation
  • Support and representation of the executive assistant in operational daily business
  • Creation and further development of checklists for meeting planning as well as independent execution of organizational tasks
  • Compilation and dispatch of meeting documents as well as structuring of resolution documents and minutes
  • Communication with committee members – e.g., for invitations, queries, or travel information
  • Support with travel to and from committee members and on-site support during meetings
  • Processing of travel expense reports for committee members
  • Support tasks in external communication, including obtaining quotes
  • Small orders and organizational tasks related to materials and event logistics

Requirements

  • Completed commercial apprenticeship or comparable qualification
  • Experience in organizing committee meetings, events, or comparable administrative processes
  • Organizational skills and independent work style: With your structured and forward-thinking approach, you maintain an overview even with parallel tasks and appointments. You work reliably, independently, and with a high degree of service orientation.
  • Communication skills: Clear and respectful communication, both written and oral, with internal and external partners is a matter of course for you.
  • Proficiency with standard MS Office programs (MS 365, Word, Excel, Outlook, PowerPoint)
  • Very good German language skills, both written and spoken, are required.
  • Flexibility and commitment: You enjoy the challenge of a modern environment and contribute with initiative and pleasure in collaboration to a meaningful work environment.
