About the Role
The Coordinator will manage administrative and program coordination responsibilities to support the daily operations and programming of the Parenting Center. This role involves liaising with patrons, supporting teachers, and managing various aspects of the program in collaboration with leadership.
Responsibilities
- Communicate professionally with patrons regarding questions or issues via in-person, phone, or email.
- Keep families informed about programs and activities through newsletters and announcements.
- Attend Parenting Center programs to welcome guests and support program leaders.
- Assist program leaders with classroom supplies and materials.
- Prepare and submit room setup requests and coordinate with facilities.
- Coordinate virtual programming logistics.
- Draft and maintain program contracts and instructor agreements.
- Manage program billing and associated paperwork.
- Process invoices and coordinate payroll.
- Produce reports and rosters using specified software.
- Respond to patron inquiries regarding programs, billing, and refunds.
- Assist with program scheduling.
- Assist in drafting and reviewing catalog and web content, managing program offerings from seasonal load through website upload.
- Submit program and event updates to relevant parties.
- May be assigned other related tasks, such as subbing in classes.
Requirements
- Previous experience working in an administrative capacity with keen attention to detail.
- Strong written and verbal communication skills with an articulate and welcoming telephone manner.
- Ability to multitask, prioritize, and demonstrate excellent time management skills.
- Prior experience in planning, coordinating, and executing events, programs, or classes.
- Pro-active self-starter, with the ability to work effectively both individually and in a team setting.
Skills
- Strong proficiency in Microsoft Word, Excel, and Power Point.
- Experience using Salesforce preferred.
- Experience with Constant Contact, MailChimp, or similar platforms is a plus.
- Proficiency using social media platforms preferred.
- Experience and interest in early childhood education programming preferred.
