About the Role
This role provides essential coordination and administrative support across major client projects and internal initiatives, assisting with planning, governance, reporting, and day-to-day administration. The position also involves owning a small portfolio of projects, potentially including client-facing work, internal improvements, or bid-related activities, ensuring successful project delivery within scope, timeline, and budget.
Responsibilities
- Provide administrative and coordination support to Project Managers and the Head of Professional Services.
- Set up project workspaces.
- Coordinate meetings, take minutes, and track actions.
- Plan resources.
- Monitor budgets and prepare reports.
- Track progress against plans.
- Maintain risk and issue logs.
- Ensure project objectives and success criteria are clearly defined, communicated, and met.
- Follow the project management methodology, Fusion, and ensure appropriate governance.
- Support the development of robust project plans, working with stakeholders and identifying dependencies.
- Monitor and control scope, resources, cost, time, risk, and quality throughout delivery.
- Support change management processes and ensure customer expectations are met while protecting commercial outcomes.
- Contribute to accurate financial and resource estimates and help maintain project margins.
- Implement risk and issue management processes and escalate appropriately.
- Prepare or contribute to weekly progress reports for internal Project Boards.
- Build strong working relationships across project teams and with clients.
- Capture and share knowledge and lessons learned.
- Support testing activities to ensure solutions meet client requirements.
- Provide cover for other projects during periods of annual leave.
Requirements
- At least two years’ experience in a project office or project support role, including supporting Project Managers through the full lifecycle.
- Good understanding of project management methodologies, governance, and the software development lifecycle.
- Excellent stakeholder communication skills.
- Strong proficiency in MS Office (Excel, Word, Outlook).
- Experience using issue and project tracking tools.
- Ability to work independently and collaboratively.
- Strong organisational skills with the ability to manage a varied workload and meet deadlines.
- Excellent problem-solving and decision-making skills.
- High attention to detail.
- Knowledge of ISO quality standards and experience working within them.
- Experience managing or supporting projects through the full lifecycle with internal or external clients.
- Proficiency in Microsoft Project.
- Experience using JIRA, QMetry or Cygnum.
