About the Role

This role supports the Global COO and UK Operations Director, acting as a key point of contact and ensuring smooth operations within a fast-paced business. You will be embedded in the team, helping to drive success and manage priorities.

Responsibilities

  • Act as the trusted right-hand person to the Global COO & UK Operations Director, creating clarity, structure, and focus.
  • Serve as a key point of contact across the Ops department and Leadership Team, building relationships and advancing priorities.
  • Manage a complex and dynamic diary to ensure focus on high-impact work.
  • Coordinate domestic and international travel, adapting to rapid and last-minute changes.
  • Assist with inbox management, communications, and follow-ups to ensure actions are completed.
  • Function as a trusted sounding board, aiding in priority identification and managing busy periods.
  • Oversee the end-to-end planning and execution of leadership offsites, team events, and operational gatherings.
  • Provide support for ad hoc requests and projects, becoming a go-to resource within the function.
  • Organize board meetings, leadership sessions, and strategic events in collaboration with senior stakeholders and EAs.
  • Prepare briefing materials, meeting notes, and essential information for key meetings, presentations, and events.
  • Coordinate the onboarding and support for new senior hires in the Operations team.
  • Collaborate across multiple teams to support projects, communications, and operational initiatives.
  • Organize team socials, celebrations, and culture-building activities.
  • Support the COO & UK Operations Director's communications and customer interactions, ensuring excellent service.
  • Welcome visitors to the London office, creating a positive experience for colleagues and guests.
  • Manage expenses, approvals, and administrative processes efficiently.
  • Collaborate with the EA team, offering support and advice as a team player.

Requirements

  • Minimum of 2 years of experience as an Executive Assistant supporting a C-suite executive.
  • Ability to thrive in a fast-paced environment with comfort in ambiguity and autonomy.
  • Capacity to remain calm under pressure.
  • Friendly and approachable demeanor, willing to take on any task.
  • Strong interpersonal skills and a passion for helping others.
  • Empathy and the ability to understand others' perspectives.
  • Solutions-driven approach, anticipating needs and proactively removing obstacles.
  • Exceptional organizational skills and efficient time management.
