About the Role
The Office Manager serves as the face of Pattern Toronto, creating a welcoming, professional, and high-touch experience for everyone. This role is the central point of contact for employees, visitors, partners, and board members, ensuring every interaction reflects our values and culture. The ideal candidate is warm, organized, and highly dependable, bringing positive energy while keeping daily operations running smoothly.
Responsibilities
- Manage relationships with external parties who support the TOR workplace, including food, wellness, and supplies.
- Onboard new vendors and serve as the Workplace Ops vendor point person.
- Ensure vendor onboarding and payment are met in a timely and efficient manner.
- Provide oversight to front desk management, ensuring a welcoming environment for visitors and clients.
- Handle employee inquiries and proactively anticipate needs, providing timely and professional solutions.
- Handle issuing all new TOR employees badges and parking passes.
- Collaborate with the Sr. Director, WOE to lead space planning, office expansions or remodels, and layout changes.
- Coordinate move logistics for TOR.
- Oversee facility management, including space planning, maintenance, and office improvements for the TOR office.
- Partner with WOE SF + EHS to ensure compliance with health and safety regulations.
- Own all communications to TOR office employees on TOR-based office events, changes, and operations.
- Coordinate company events end-to-end, from small meetings to large corporate gatherings.
- Own and manage event logistics, including venue selection, vendor negotiation, and event budgeting.
- Partner closely with EA + AA and various departments as a subject matter expert and advisor for in-office needs.
- Lead all TOR-based office-related projects and initiatives.
- Provide EA support to office-based executive(s), including calendar management, expense reporting, and travel arranging.
- Support team executive managers, including scheduling team meetings, taking action items and follow-ups, and planning large department meetings or offsites.
Requirements
- 5+ years of experience in Office Management, administrative support, or operations.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Proficiency with Microsoft Office, Excel, Word and Outlook.
- Ability to handle confidential information with professionalism and discretion.
- Flexible, resourceful, and comfortable in a fast-paced environment.
- Experience in a startup or high-growth environment.
- Event coordination or workplace experience background.
- Basic knowledge of budgeting or vendor management.
- Warm, approachable, engaging demeanor.
